What to Expect
State Certified X-ray Inspectors will inspect your X-ray equipment to ensure it meets the standards for radiation for your State. In New York State these “Certified Radiation Equipment Safety Officers” are referred to as CRESOs.
An inspection report will be prepared and reviewed with you so that You are up to date on how your equipment is performing and whether any issues need to be resolved. The inspection also includes a survey for exposure risk and will include any suggestions for remediation. Finally, the required administrative documentation is reviewed.
Items not meeting standards can be fixed. You will receive a copy of the report for your records and depending on the state, a copy may be submitted directly.
If an X-ray unit passes inspection an inspection sticker will be put on the X-ray unit. The color of the sticker and the information on it varies by state.
If an X-ray unit does not pass inspection, a re-inspection is not always needed. A copy of the repair report will allow the completion of a follow-up report. Depending on what caused the unit to fail, this follow-up saves money and time.
There are varying degrees of deficiencies that may be found and not all of them require shutting down the unit until repaired. The inspector will provide guidance on this.

Radiographic Unit (X-ray) Inspection Types
- Dental and Orthodontic X-ray inspections are required regularly for each type of X-ray units.
- Inspection intervals vary according to state regulations. The chart below is typical for New York State.
- The amount of time needed for each type of unit varies.
- You will require an X-ray inspection for all new units, if your business has moved or a unit has been moved within the building or had a major repair, Transfer of ownership requires an inspection under the new owner’s registration number.
QA Testing – Annual Acceptance, Periodic Review, Amendment Review
A review of quality control (QC) procedures will be done to ensure that the X-ray unit is functioning properly prior to use with your patients.
Dental x-ray imaging equipment will be assessed to ensure performance meets the manufacturer’s specifications and regulatory requirements.
The QA/QC protocols run during installation give you the baseline values for quality images and minimal radiation exposure. These are also used for comparison for future tests.
Accreditation Assistance and Compliance Audits
- For units located at community health center facilities, accreditation, and compliance audits are available.
Laser Safety Audits
Your laser equipment, procedures, and environment will be checked for safety issues. This takes about an hour and no patients/staff can be near the laser equipment at the time of the audit. Typically, this includes:
- Review of laser system’s safety features.
- Conduct analysis of Maximum Permissible Exposure (MPE) for each laser.
- Review administrative controls, operating procedures, laser safety training.
- Assess laser-controlled area for required signs and labels.
- Check personal protective equipment (PPE).
- A copy of the Laser Safety Report will be provided.
Shielding Design
- Our in-house physicist will work with you to provide a shielding design that ensures your new office or X-ray unit installation meets all radiological and safety standards.
- A site visit can be arranged, if requested, prior to construction.
- Phone consultations with any questions regarding your facility, including from your architect, are welcome at any time.

Dental – FAQ’s
A: If it’s new, it needs to be inspected. After that, each State has its own inspection frequency. The inspection sticker will show the date of inspection and expiration date. Other inspection requirements include units that are newly installed, if a unit is moved within the facility, replaced or moved to an entirely different location, undergone a significant repair that would affect performance, and change of ownership.
A: For dental units, NY State requires an inspection if more than one year has elapsed since the acquisition. For other X-ray units, a reinspection is required after the acquisition.
A: Please contact us. There are venders who would be interested in purchasing your units for spare parts or for the entire unit. There are close-out procedures to follow, both for the existing owner and the new owner; these include the submission of an Equipment Disposition Form and surrender of the registration certificate to the NYSDOH.
A: Typically, yes.
A: It has the registration number, the date of the inspection, the due date of the next inspection. We also include key information of the device on our stickers. This allows for easy comparison of current results compared to historical performance. In NYS, it is a yellow sticker that has been placed on the X-ray unit.
A: The registration is provided by the State. This registration simply allows the facility to possess the X-ray equipment. The information an office provides to the State includes the type of X-ray machine, and the number of units in the office. The inspection determines the level of performance of the units as well as the safety of the units for the patient and the staff. A review of administrative paperwork is completed at the time of the physical inspection of the units to ensure it’s current.
A: No, they are two separate requirements.
A: There is a 30-day window to the time of inspection.
A: It depends on the type of X-ray machine. Simple dental units range from 10 to 15 minutes. Complex devices, such as a whole-body computer tomography device, may require more than one hour.
A: No. They may not be in the operatories while we are testing the unit. While patients may be in other rooms during our inspection process, it may preclude us having access to part of the associated safety survey. We are adept at working around patients.

A: Payment may be provided at the time of the evaluation or sent to us.
A: Individuals who are approved by the State Inspections must be completed by personnel who are approved by the state department of health to conduct the inspections. Installers of the units are NOT inspectors and new units are not considered “inspected” simply because they are new.
A: In NYS, that stands for Certified Radiation Equipment Safety Officer. An individual who has met specific educational requirements and experience requirements that allows them to perform testing of dental, veterinary, and podiatry X-ray devices. The NYSDOH provides this certification after reviewing an inspector’s qualifications.
